Porzio, Bromberg & Newman, P.C. is seeking a dedicated legal assistant to support attorneys in its Corporate Restructuring and Bankruptcy practice located in Morristown, NJ. The successful candidate will be self-motivated, flexible, and capable of adapting to new technologies quickly. Proficiency in Microsoft Outlook, Word, and Excel is essential for this position. The legal assistant will be responsible for a variety of essential functions, including answering incoming calls and making outgoing calls in a professional manner. The role involves revising materials such as correspondence, emails, documents, memoranda, and contracts, as well as editing and finalizing documents for distribution to clients, attorneys, and the court. Proofreading and redlining documents to ensure accuracy in grammar, punctuation, and syntax is a critical part of the job. The assistant will also manage incoming and outgoing mail, coordinate travel arrangements, and maintain client files. In addition, the legal assistant will coordinate conferences, meetings, and appointments for attorneys and clients, ensuring that all necessary materials are prepared and that conference rooms and meals are arranged. Maintaining a calendar of meetings and business trips is crucial, as is coordinating legal work through word processing and communications. The assistant will also be responsible for conducting preliminary conflicts checks and ensuring timely follow-up on requests made by attorneys. Reviewing and editing bills prior to attorney approval, supervising e-filings, and handling personal business for attorneys in a discreet manner are also part of the role. The legal assistant will assist with various tasks to support team objectives and client services, including preparing reports, expense reports, and marketing materials.

Responsibilities

  • Answer all incoming calls and make outgoing calls in a professional manner.
  • Revise materials including correspondence, emails, documents, memoranda, and contracts.
  • Edit and finalize documents and distribute them to clients, attorneys, personnel, and the court.
  • Proofread and redline documents to ensure accuracy of copy, grammar, punctuation, and syntax.
  • Receive and transmit telephone and conference calls and messages to attorneys, clients, and personnel.
  • Handle incoming and outgoing mail.
  • Coordinate travel arrangements for attorneys and clients, including air, hotel, and car reservations.
  • Set up and maintain client files.
  • Coordinate conferences, meetings, and appointments for attorneys and clients, including scheduling conference rooms and preparing materials.
  • Maintain calendar of meetings and business trips, apprising attorneys of responsibilities before commitment.
  • Coordinate legal work through word processing, editing, communications, and messenger services for prompt document production and delivery.
  • Coordinate preliminary conflicts checks with the Conflict Check Group.
  • Maintain a system for timely follow-up on requests made by attorneys to colleagues and clients.
  • Review and edit bills prior to attorney approval.
  • Coordinate and supervise e-filings and mass mailings, including filings with state and federal courts and agencies.
  • Handle attorneys' personal business and information in a discreet and confidential manner.
  • Assist with preparation of correspondence, documents, and spreadsheets on client matters.
  • Perform additional assistant functions to support team objectives and client services.

Requirements

  • Proficiency with Microsoft Outlook and Microsoft Office.
  • Ability to accurately type 75 WPM.
  • Strong oral and written communication skills.
  • Ability to establish effective working relationships throughout operational groups.
  • Strong organizational skills and ability to multi-task and prioritize workload.
  • Good knowledge of data management systems.
  • Comfort with learning legal terminology pertinent to the area of assignment.
  • Familiarity with state and federal court and administrative agency rules, procedures, and deadlines is helpful, but not required.
  • Ability to understand procedures and instructions specific to the areas of assignment.
  • Notary certification is helpful, but not required.
