About the position

The Legal Assistant position at Ross & Matthews, PC is a full-time role based in Fort Worth, TX, offering a hybrid work environment. The primary responsibilities include managing privileged communications and confidential information, ensuring there are no conflicts of interest, and electronically filing court documents. The Legal Assistant will be responsible for calendaring and monitoring court deadlines, managing and organizing documents within an electronic document management system, and handling client billing processes. This role also involves drafting, proofreading, and mailing legal correspondence and documents, as well as performing basic office functions such as answering and directing phone calls, managing mail, and printing or copying documents. The Legal Assistant must adhere to the firm's standards of courtesy and professionalism, as well as the service standard requirements of LegalShield. The position requires mandatory in-office work at least one day per week, with the remainder of the work being remote. In addition to the essential duties, the Legal Assistant will also be responsible for entering information into the LegalShield system and practice management software, along with other tasks or projects assigned by the supervisor. The role demands prolonged periods of sitting at a desk and working on a computer, which is a physical requirement of the job. The ideal candidate will possess a high school diploma or equivalent, with some college education preferred, and at least two years of clerical or administrative experience, preferably in a legal setting. Proficiency in typing (50+ wpm) is required, and candidates must submit typing test results. The position calls for a positive and helpful demeanor, excellent customer service skills, and the ability to communicate clearly and concisely, both verbally and in writing. Self-motivation, strong multitasking abilities, and reliability are essential traits for success in this role.

Responsibilities

  • Observe rules governed privileged communications and confidential information.
  • Verify no conflict of interest with plaintiff(s) or co-defendants.
  • Electronically file court documents.
  • Calendar and monitor court deadlines.
  • Manage, organize, and maintain documents in an electronic document management system.
  • Manage client billing by preparing, finalizing, and sending bills, as well as resolving issues with the attorney.
  • Draft, proofread, and mail correspondence and legal documents.
  • Perform basic office functions, such as answering, screening, and directing phone calls; managing mail; and printing or copying documents.
  • Answer incoming calls, assisting callers with issues or forwarding to the attorney.
  • Manage case files, ensuring files are properly maintained, collected, and organized.
  • Adhere to firm standards of courtesy and professionalism, as well as LegalShield service standard requirements.
  • Enter information in LegalShield system and practice management software.
  • Complete other tasks/projects as assigned by the supervisor.

Requirements

  • High School Diploma or equivalent, some college preferred.
  • 2+ years of clerical/administrative experience, legal experience preferred.
  • Accurate and proficient typing skills (50+wpm).
  • Positive/upbeat and helpful temperament.
  • Excellent customer service skills/focus with demonstrated composure, ownership & professionalism.
  • Analytical skills with the ability to provide appropriate information.
  • Ability to communicate clearly, concisely and with good grammar (both verbal & written).
  • Comfortable interacting with members, clients, and attorneys on a daily basis.
  • Self-motivated (requiring minimal supervision) with strong multitasking, prioritization, and organization skills.
  • Ability to learn and apply new information in a fast-paced, changing environment.
  • Ability to follow instructions and work within policies/procedures to meet/exceed deadlines.
  • Intermediate skill set in Microsoft Office.
  • Reliable with consistent attendance and punctuality.
  • Must live in the North Texas area.
