About the position

The Litigation Legal Administrative Assistant position at Unidor Consulting LLC in Irvine, CA, is a full-time role that requires a dedicated individual to support attorneys and paralegals in various legal tasks. The primary responsibilities include formatting legal documents such as briefs, pleadings, and correspondences, as well as preparing shells for motions, discovery, and trial documents. A strong understanding of e-filing with state and federal courts is essential, as the role involves filing legal documents accurately and in a timely manner. The assistant will also be responsible for proofreading all documents to ensure their accuracy and completeness before distribution or filing. In addition to document preparation, the assistant will maintain and update client files promptly, prioritize tasks assigned by attorneys, and execute them with attention to detail. The role requires reviewing vendor invoices for accuracy, preparing check requests, and submitting invoices for payment. The assistant will also assist in the submission of conflict checks and client intake forms, and prepare for trials by supporting paralegals and attorneys. A positive attitude, flexibility, and the ability to adapt to a demanding workload are crucial for success in this position. The ideal candidate will possess strong communication skills, both written and verbal, and be able to effectively interact with clients and vendors. Responsibilities

  • Formatting briefs, pleadings, correspondences, and other legal documents, including producing TOC/TOA.
  • Preparing shells for attorneys in the preparation for all motions, discovery, and trial documents.
  • Filing legal documents with state and federal courts, ensuring e-filing knowledge is utilized.
  • Regularly proofreading all documents to ensure accuracy and completeness prior to distribution or filing.
  • Updating and maintaining client files in a timely manner.
  • Prioritizing and executing attorney assigned tasks quickly and accurately, while being organized and detail-oriented.
  • Reviewing and ensuring accuracy of vendor invoices; preparing accurate check requests and timely submitting invoices for payment to clients or accounting.
  • Assisting in the timely submission of conflict checks and client intake forms.
  • Preparing for trial by assisting paralegals and attorneys.
  • Demonstrating a strong understanding of and abiding by the policies and procedures of the firm.
  • Being flexible and willing to pitch in wherever needed.
  • Exhibiting a positive attitude and being approachable.
  • Adapting well to fluctuations in workload and changes in responsibilities.
  • Working effectively in highly-stress situations with a demanding case load.

Requirements

  • Minimum of a high school diploma required (College degree preferred but not required).
  • Minimum of three to five years of experience as a litigation legal administrative assistant.
  • Proficiency in Microsoft PowerPoint, Microsoft Excel, and other Microsoft Office applications.
  • Experience with Lexis-Nexis and litigation legal administrative tasks.
  • Strong customer service skills and ability to respond promptly to attorney and client requests.
  • Excellent verbal and written communication skills.
  • Ability to work independently and follow instructions to complete tasks on time.

Nice-to-haves

  • Knowledge of Aderant and File Site is a plus.
  • Experience with document management systems such as Lexis Nexis/File & Serve Express, Pacer, ECF, and File Site.
