About the position

This position offers an exciting opportunity for an experienced legal assistant, paralegal, or executive assistant with a legal background to join a growing team in Palm Beach County. The ideal candidate will be detail-oriented and possess strong follow-up and organizational skills, along with demonstrated legal experience, preferably in Personal Injury and Litigation. In this role, you will be responsible for managing multiple attorneys' busy calendars, which includes scheduling appointments, coordinating travel, and handling discovery processes. You will prepare exhibits for trial, redact medical records and bills, and create witness lists, summonses, initial interrogatories, and damages summaries. Additionally, you will prepare and update medical chronologies for disposition, mediation, and trial, and may be required to attend trials with attorneys as needed. The position also involves assisting with special projects, such as preparing Excel spreadsheets, transferring files from data rooms, indexing and organizing documents, filing, scanning, and processing subpoenas. This role is crucial in ensuring that the legal team operates efficiently and effectively, and it requires a proactive approach to managing tasks and responsibilities.

Responsibilities

  • Managing multiple attorney's busy calendars, scheduling, discovery, travel coordination, etc.
  • Preparing exhibits for trial, redaction of medical records & bills, witness lists, summonses, initial interrogatories, request to produce, damages summary.
  • Preparing and updating medical chronology for disposition, mediation, and trial.
  • Attending trial with attorney as needed.
  • Assisting with special projects such as preparing Excel spreadsheets, transferring files from data room, indexing and organizing documents, filing, scanning, processing subpoenas, etc.

Requirements

  • 3+ years experience in a legal office assisting multiple attorneys.
  • Personal Injury or Litigation experience preferred.
  • Bachelor's degree or equivalent years of experience.
  • Strong written and oral communication skills, presentation skills, team player.
  • Excellent computer skills, including MS Office, Word, Outlook, Excel, etc.
  • Ability to multitask, organize, prioritize, handle a fast-paced environment, and manage workload with a positive attitude and minimal supervision.
