About the position

The Legal Assistant/Paralegal position at Votava Nantz & Johnson is designed to enhance the effectiveness of attorneys by providing essential support throughout the legal process. This role involves developing case information and evidence, maintaining communication with clients, and assisting during trials. The successful candidate will be responsible for conducting new client telephone intakes, ensuring that all case files are organized and up-to-date, and monitoring important deadlines. This position requires a proactive approach to managing case information and a commitment to maintaining confidentiality and professionalism in all interactions. In addition to organizing files and tracking case progress, the Legal Assistant/Paralegal will play a crucial role in case development. This includes maintaining contact with all parties involved in the case, obtaining necessary medical records, scheduling depositions, and preparing legal documents such as summonses and subpoenas. The candidate will also be responsible for preparing and filing discovery requests and responses, ensuring that all materials are ready for team case reviews. During trial proceedings, the Legal Assistant/Paralegal will enhance the process by organizing evidence, preparing exhibits, and scheduling witnesses. The role requires taking detailed notes in the courtroom and ensuring that all witnesses are prepared and available when needed. Additionally, reviewing medical records and bills is a key responsibility, requiring strong attention to detail and organizational skills.

Responsibilities

  • Conduct new client telephone intakes.
  • Keep cases organized by establishing and organizing files, monitoring calendars, meeting deadlines, inputting information into file database and case management software, confirming case status with attorney and client.
  • Help develop cases by maintaining contact with people involved in the case, obtaining medical records, scheduling depositions, preparing and forwarding summonses and subpoenas, preparing and filing discovery requests and responses.
  • Keep clients informed by maintaining contact and communicating case progress.
  • Support case preparation by preparing case summaries and materials; preparing medical records summaries; monitoring and obtaining discovery responses; organizing materials for team case review.
  • Enhance trial proceedings by organizing evidence, preparing exhibits, scheduling witnesses, ensuring that witnesses are ready when needed, and taking courtroom notes.
  • Review medical records and bills.

Requirements

  • High school diploma or GED.
  • Proficient in Microsoft Word.
  • Legal administrative experience preferred but not required.
  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and dependability.
  • Research skills and ability to develop client relationships.
