About the position

The Legal Assistant/Paralegal position is a part-time contract role based in Nashville, Tennessee, specifically within the Tennessee Department of Environment and Conservation's Office of General Counsel (OGC). This hybrid position allows for a combination of in-office and remote work, with an expected commitment of up to 15 hours per week. The primary responsibility of the Legal Assistant is to coordinate the service of process and prepare draft General Sessions warrants. This involves handling various legal documents and ensuring that service of process is executed correctly for enforcement orders issued by different divisions within the Bureau of Environment. The role requires a meticulous approach to managing requests for service, confirming addresses, and selecting appropriate methods for service, all while maintaining a high level of confidentiality and professionalism. In addition to coordinating service of process, the Legal Assistant will be responsible for tracking all requests, communicating updates to the assigned attorney, and preparing necessary documentation for review. This includes drafting General Sessions warrants and affidavits, securing signatures, and arranging for the filing of these documents. The position demands strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively. The Legal Assistant will also need to demonstrate excellent communication skills, both in written and verbal forms, to interact with various stakeholders and ensure that all legal processes are followed accurately and efficiently.

Responsibilities

  • Receive and acknowledge receipt of requests from divisions for service of process.
  • Confirm current address for service of process.
  • Request CLEAR search from an OGC paralegal if needed.
  • Select the appropriate method of service and confer with assigned attorney to confirm.
  • Contact the selected process server and arrange for service of process.
  • Provide clear instructions for service to the process server.
  • Provide a blank affidavit of service when appropriate.
  • Coordinate payment of the process server.
  • Track all service of process requests and contact the process server for updates.
  • Secure and review proof of service for accuracy and completeness.
  • Prepare draft General Sessions warrants and affidavits for review by the assigned attorney.
  • Secure signature of affiant and arrange for filing at General Sessions once drafts are approved.
  • Communicate updates and share documents with the assigned attorney.

Requirements

  • Minimum of a High School diploma; Associate's or Bachelor's degree preferred.
  • Paralegal certificate preferred.
  • Public notary preferred.
  • Minimum of five years progressive administrative support experience required.
  • Legal administrative experience preferred.
  • Strong organizational skills with the ability to handle multiple and competing priorities.
  • Excellent attention to detail and strong communication skills.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and display good judgment.
