About the position

The Legal Assistant / Paralegal performs a broad range of assistant, paralegal, and clerical support duties for one or more attorneys. This role is essential in organizing and maintaining all files, calendars, scheduling, and other correspondence relating to litigation and administrative matters under the direct supervision of a senior attorney. The ideal candidate must be organized, detail-oriented, tech-savvy, and able to perform under pressure to support multiple attorneys while managing deadlines to meet court orders and the firm's needs. Self-motivation, problem-solving skills, and the foresight to assist attorneys are crucial attributes for success in this position. Knowledge of the litigation process, court rules, and procedures is required to effectively carry out the responsibilities of this role. The responsibilities of the Legal Assistant / Paralegal include using document management software to prepare, revise, format, and finalize a wide variety of documents, including correspondence, memoranda, and legal materials. The candidate must be capable of performing conference calls, coordinating and scheduling travel arrangements for attorneys, and maintaining their calendars. Additional tasks involve mailing, faxing, or arranging for the delivery of legal correspondence to clients, witnesses, and court officials. Establishing and maintaining both paper and electronic files in compliance with current firm policies utilizing the Document Management System is also a key responsibility. The role further involves preparing, proofreading, or processing legal documents such as motions, pleadings, orders, and correspondence. The Legal Assistant / Paralegal will assist attorneys with civil litigation matters from investigation to trial, draft and issue subpoenas, FOIA requests, discovery, and other document requests. They will also obtain, review, and organize medical records and bills from various medical providers, interact with clients in drafting discovery responses, and review requests for documents to prepare organized productions with document catalogues and draft well-formulated responses. Coordination of depositions with medical providers and experts, preparation of notices of deposition and subpoenas, and assistance with deposition preparation are also part of the job. Finally, the Legal Assistant / Paralegal will assist with trial preparation by drafting witness and exhibit lists, assembling exhibit lists, organizing medical records, and preparing trial notebooks, along with performing other work-related duties as assigned.

Responsibilities

Requirements

  • At least 1-3 years of experience as a legal assistant/paralegal working at a litigation law firm.
  • Experience with personal injury, construction injuries, and medical malpractice is preferred.
  • Exceptional oral and written communication skills with knowledge of legal terminology.
  • Proficiency in Microsoft Outlook, Word, Excel, and Adobe Acrobat.
  • Familiarity with searching PACER and state court dockets.
  • Excellent understanding and familiarity with e-filing in Illinois state and federal courts.

Nice-to-haves
