About the position

Velasquez & Associates is seeking a Legal Assistant to join our team in Durham, NC. This is a full-time position that plays a crucial role in supporting our attorneys and ensuring the smooth operation of our law firm. The ideal candidate will be responsible for a variety of administrative tasks that are essential to the functioning of our legal practice. This includes answering phones, scheduling appointments, preparing and maintaining records, and performing other clerical duties as assigned. The Legal Assistant will also assist with preparing and filing legal documents such as motions, petitions, and briefs, which are vital to our case management process. In addition to administrative support, the Legal Assistant will maintain and update case files, including discovery, discovery responses, and client records. This role requires a high level of organization and attention to detail, as maintaining accurate and up-to-date records is critical in the legal field. The Legal Assistant will also be responsible for preparing and sending correspondence to clients, attorneys, courts, and other parties, ensuring that all communications are handled professionally and promptly. Responsibilities

  • Provide administrative support to attorneys and other staff, including answering phones, scheduling appointments, preparing and maintaining records, and performing other clerical duties as assigned.
  • Assist with preparing and filing legal documents such as motions, petitions, and briefs.
  • Maintain and update case files, including discovery, discovery responses, and client records.
  • Maintain and update client records.
  • Assist with preparing and sending correspondence to clients, attorneys, courts, and other parties.
  • Maintain contact lists for prospective clients.
  • Prepare summaries of telephone calls for attorneys or other staff members.
  • Prepare reports for attorneys or staff members based on client calls.
  • Other duties as assigned.

Requirements

  • Bilingual in Spanish and English
  • Bachelor's degree preferred (or additional work experience)
  • Experience working in a professional office such as a doctor's office, dental office, law office, or hospital
  • Experience managing billing and client records is appreciated
  • Experience ordering patient records and managing them
  • Must be responsible and organized
  • Excellent written and verbal communication skills; ability to communicate effectively with all types of audiences including clients, attorneys, co-workers, etc.
  • Knowledge of Microsoft Office applications (Word, Excel, Outlook)

  • Experience in records management (3 years preferred)
