About the position

The Legal Assistant for Personal Injury will support attorneys by managing client communications, organizing case files, and coordinating litigation needs. This role is essential for maintaining efficient operations within the firm, ensuring that all client-related documentation is accurate and up-to-date, and facilitating smooth interactions between clients, attorneys, and external parties.

Responsibilities

  • Maintain contact with clients throughout their medical treatment
  • Maintain a well-organized client file and utilize the firm's case management program
  • Obtain all medical records and bills of the client
  • Communicate with opposing counsel, insurance providers, eye-witnesses, and experts to coordinate possible litigation needs
  • Perform data entry on case files, e-mail, and other correspondence to ensure properly documented/negotiated files and ultimate settlement upon direction of the attorney
  • Request wreck reports, photographs, dash cam videos, etc. associated with a file
  • Review all incoming medical records and prepare/update the client's medical chronology
  • Review incoming documents including mail, email, faxes, and other correspondence and save applicable information to client's electronic folder and notify assigned attorney of updates
  • Work closely with attorneys to discuss client file reviews, client contracts, treatment, litigation needs, case status, progress in the client's case file
  • Schedule and calendar in the firm's case management software daily on all relevant events including, but not limited to, in/out of office meetings, depositions, mediations, hearings, medical exams, deadlines, disbursements and/or any other events
  • Problem-solve scheduling conflicts independently through communication and coordination with the assigned attorney and clients
  • Update medical bill values received through case management software input, and verify medical balances timely
  • Request settlement checks from opposing counsel/insurance adjusters, as well as settlement documents for client signature
  • Prepare disbursement packets in advance for efficient and timely settlement when client checks arrive
  • Submit finalized disbursement packets to accounting for review upon settlement and payment received for client's cases
  • Deal professionally with clients
  • Maintain office file system
  • Able to scan, fax, email

Requirements

  • Bilingual in Spanish (preferred)
  • Proficiency in Microsoft Office, especially Word
  • Mid-level experience in personal injury law
  • Strong communication skills
  • Attention to detail
  • Ability to multi-task and handle multiple clients
  • Reliable and trustworthy
  • Positive attitude and friendly demeanor
  • Computer savvy and willing to learn

Nice-to-haves

  • Spanish bilingual - not required, but a plus
