About the position

Duane Morris LLP, a global law firm with over 900 attorneys, is seeking a Litigation Legal Assistant to join our Miami office. This role is essential for supporting attorneys in a fast-paced and demanding legal environment. The Legal Assistant will perform a variety of duties under general supervision, adhering to established policies and procedures. The position requires maintaining positive contact with clients, attorneys, and staff while ensuring confidentiality regarding client and firm matters. The Legal Assistant will be responsible for typing and proofreading correspondence, memoranda, and other legal documents, as well as drafting standard correspondence and documents. The role includes electronically filing legal case documents in both State and Federal Courts, managing e-file notifications, and calendaring court dates and hearings. The assistant will also screen telephone calls, manage incoming and outgoing mail, and maintain a calendar and deadline reminder system. Additionally, the position involves recording billable work for clients and assisting attorneys with travel arrangements and appointments. This position may require working more than 35 to 40 hours per week and may involve irregular hours. The Legal Assistant will work closely with administrative support staff and coordinate with various departments to perform typing, filing, photocopying, and other support tasks as needed. The ideal candidate will possess strong organizational skills, technical competency in relevant software, and the ability to communicate effectively with clients and colleagues.

Responsibilities

  • Types and proofreads correspondence, memoranda, and other legal documents; drafts standard correspondence, memoranda, and other documents.
  • Electronically files legal case documents in State and Federal Courts.
  • Downloads voluminous e-file notifications and distributes to the group.
  • Calendars court dates, schedules hearings, and arranges for court reporters.
  • Screens telephone calls and records messages.
  • Reads, sorts, and dates incoming mail; ensures timely delivery of outgoing mail.
  • Establishes and maintains calendar and deadline reminder systems; utilizes master calendar system.
  • Records work to be billed to clients in a timely manner.
  • Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney/client relationships.
  • Makes appointments and assists with travel arrangements for attorneys.
  • Works closely with administrative support staff and maintains a team orientation towards work.

Requirements

  • Minimum High school diploma required; Associate certificate or college degree preferred.
  • Minimum of five (5) years on-the-job experience necessary to understand law office policies and procedures and produce accurate legal documents with limited supervision.
  • Ability to read and write to skillfully proofread and perform minor editing of routine law office correspondence and legal case matters.
  • Ability to accurately transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription at a level of 50 w.p.m.
  • Possesses high level of technical competency on all Microsoft Office and various other job-related software packages and applications.
  • Ability to organize and prioritize numerous tasks and complete them under strict time constraints.
  • Possesses strong oral and written communication and interpersonal skills necessary to communicate successfully.

Nice-to-haves

  • Ability to perform non-complex arithmetic calculations when verifying calculations on forms and documents.
  • Ability to proofread typed material for grammatical, typographical, and spelling errors.
