We are seeking a sharp legal assistant for our busy, small law firm located in Homewood, Illinois. This full-time, in-person position is ideal for a well-organized, tech-savvy professional who enjoys working with people. The legal assistant will play a crucial role in our practice, which primarily focuses on estate planning, probate, and real estate. You will be responsible for performing client intake, scheduling appointments, and tracking deadlines to ensure the smooth operation of our firm. Our clients appreciate our dedication to keeping them informed and providing exceptional service. In this role, you will work closely with our attorney and paralegal to prepare legal documents, respond to emails and phone calls, and manage office correspondence. You will also be tasked with entering client information into our practice management software, Clio, and documenting internal procedures to facilitate knowledge sharing within the firm. Your ability to solicit online reviews after a matter is completed will also contribute to our firm's reputation for excellence. Responsibilities

  • Perform new client intake to determine whether we can assist, and if not, refer them to other resources when possible
  • Enter client information in our practice management software (Clio)
  • Manage office correspondence and administrative tasks
  • Schedule client meetings and confirm upcoming appointments
  • Solicit online reviews after a matter is completed
  • Document internal procedures so we can share knowledge within our firm
  • Undertake other duties as needed to ensure the firm operates efficiently

Requirements

  • Strong organizational skills
  • Excellent communication skills
  • Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times
  • Proficiency in Microsoft Office products
  • 1-2 years of prior experience in a law firm environment as a secretary or administrative assistant
  • Some college is preferred; high school diploma or equivalent is required
