About the position

This position performs a variety of administrative support duties and delivers high-quality services to internal and external clients, exhibiting commitment to integrity and excellence. The role requires thorough knowledge of all firm and practice-specific administrative processes and procedures, information technology systems, research tools, and a broad-based understanding of the clients, matters, and associated practices. The scope of responsibilities includes prioritizing, managing, and following through on multiple projects, and communicating effectively, courteously, and professionally with clients, attorneys, staff, and peers. After a probationary period and with proven work skills, you may work a hybrid schedule. The Legal Assistant will provide support to attorneys and back up other assistants as needed. Key tasks include preparing, merging, and proofreading documents from digital dictation software, preparing Notice of Motions, Request for Hearings, Settlement Contracts, and other pleadings, and electronically filing these with the Court. The assistant will also profile and maintain documents in document management software to ensure case materials and electronic files are current. Scheduling depositions and independent medical exams, preparing necessary documentation, and entering attorneys' time into billing software are also part of the role. Additionally, the assistant will utilize document management software to perform duties and responsibilities and assist with special projects as needed.

Responsibilities

  • Provide support to attorneys and back-up other assistants as needed
  • Prepare, merge and proofread documents from digital dictation software
  • Prepare Notice of Motions, Request for Hearings, Settlement Contracts, and other pleadings and electronically file with Court
  • Profile and maintain documents in document management software to ensure case materials and electronic files are current
  • Schedule depositions and independent medical exams and prepare any necessary documentation
  • Enter attorneys' time into billing software
  • Utilize document management software program to perform duties and responsibilities
  • Assist with special projects as needed

Requirements

  • Legal assistant experience of 3 years
  • Experience in Workers' compensation law for 2 years
  • Ability to effectively handle confidential correspondence with clients and opposing counsel
  • Ability to work independently and reliably
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate
  • Ability to work effectively with minimal supervision to complete tasks in a timely manner
  • Ability to multi-task and prioritize a high volume of work with strong attention to detail
  • Proficient with Adobe and Microsoft Office applications
  • Knowledge of rules of civil procedure and e-filing process
  • Litigation experience
  • Experience with workers' compensation appeals is a plus

Nice-to-haves

  • Flexible and adaptable in various situations and when interacting with many different personalities
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines
