About the position

The Legal Assistant position at a reputable mid-sized law firm in Oakland, CA, involves providing comprehensive administrative support to the Trial and Litigation team. This role is essential for managing attorney schedules, preparing legal documents, and ensuring efficient communication within the firm. The position is hybrid, requiring three days in the office, and offers flexibility for overtime as needed.

Responsibilities

  • Manage attorney and practice group calendars using Outlook, coordinating travel arrangements and scheduling client meetings.
  • Oversee attorney inbox and incoming client correspondence via email, phone, and certified mail.
  • Track and report attorney work-related expenses, processing check requests for vendor services as needed.
  • Initiate conflict checks and new client/matter forms, building client profiles in the management database.
  • Track attorney billable hours and submit monthly reports to the internal billing department.
  • Support business development engagements and special projects for the assigned attorney.
  • Draft, finalize, and maintain various legal and non-legal documents, including correspondence, memos, and legal shells.
  • E-file documents within State and Federal Courts using CompuLaw for deadline management and calendaring.
  • Proofread and format all materials according to firm policy and attorney standards.
  • Utilize iManage document management system for all matter and client-related documents.

Requirements

  • Minimum of three years of litigation legal administrative experience.
  • Proficiency in Microsoft Office 365, iManage, CompuLaw, CCC Macros, and Adobe.
  • Experience with California state and federal court E-filing rules and procedures.
  • Strong word processing skills with attention to detail and organization.
  • Ability to work in a fast-paced environment with effective prioritization of tasks.
  • Collaborative and team-oriented working style.

Nice-to-haves

  • Experience in eminent domain and real estate litigation.
  • Appellate experience preferred.
