About the position

Gerber Ciano Kelly Brady, a multi-office, multi-state law firm, is seeking an entry-level legal assistant for an immediate full-time position. This role is designed to support the firm's operations across its entire footprint, providing essential assistance to attorneys and legal teams. The ideal candidate will be someone who can deliver insightful support and produce high-quality work. The position requires the ability to exercise good judgment in various situations, coupled with strong and professional communication skills. The candidate should be a team player with an engaging personality, demonstrate initiative, and be capable of working independently while managing multiple priorities effectively. As a legal assistant, the individual will be responsible for a variety of tasks aimed at providing comprehensive support. This includes administrative duties such as scanning, copying, and printing documents, as well as formatting, proofreading, and editing materials to ensure extreme accuracy and clarity. The legal assistant will assist in entering information into databases, processing expense reports, and managing large client mailings. Additionally, the role involves typing dictation, maintaining electronic files, and saving legal documents received from State and Federal Court e-filings into the firm's document management system. The legal assistant will also assist in scheduling meetings and depositions, creating and sending electronic links to clients and vendors, and preparing correspondence, pleadings, discovery, and motions. The position requires both independent work and collaboration with team members on ongoing projects, following office workflow procedures to maximize efficiency, and performing general administrative and clerical duties as needed.

Responsibilities

  • Supports team members with various administrative tasks, such as scanning, copying or printing of documents.
  • Formatting, proofreading and editing all materials for extreme accuracy and clarity.
  • Assists with entering information into databases when needed.
  • Processes expense reports.
  • Processes large client mailings.
  • Types dictation.
  • Assists with maintaining electronic files by scanning documents and saving them to the firm's document management system.
  • Saves legal documents received from State and Federal Court e-filings to the firm document management system.
  • Assists with scheduling meetings and depositions.
  • Assists with creating and sending electronic links to clients, opposing counsel, firm vendors, etc.
  • Assists with preparing correspondence, pleadings, discovery, motions, etc.
  • Assists with electronic filing of legal documents in State and Federal Courts.
  • Works independently and with a team when needed for ongoing projects.
  • Follows office workflow procedures to ensure maximum efficiency.
  • Performs general administrative and/or clerical duties.

Requirements

  • Proficient in MS Word, Excel, Outlook and PowerPoint.
  • Strong keyboarding skills.
  • Ability to multi-task and pay attention to detail.
  • Excellent communication and organizational skills.
  • Prior clerical experience is preferred (law firm experience is a plus).
  • Technology savvy.
  • Strong attention to detail and highly organized.
  • Ability to work under deadlines and have some flexibility in their work schedule to meet unforeseen demands.
