About the position

Baratta Law, a Personal Injury Law Firm located in Huntingdon Valley, is seeking a Legal Assistant/Paralegal. The qualified candidate will have 1-3 years of legal secretary/assistant experience, specifically in civil litigation. This role requires a highly professional individual who is client-service driven and possesses excellent telephone etiquette due to the high level of client interaction involved. The ideal candidate must be a self-starter, require minimal supervision, and be willing to actively participate in the litigation process. The primary responsibilities of the Legal Assistant are administrative in nature, including calendaring, data entry, scanning, and client correspondence. Legal secretarial tasks will also be required, such as typing legal documents and pleadings with an accuracy of 80 or more words per minute. Knowledge of court rules and electronic filings is essential. The candidate must have digital transcription experience along with strong computer skills, including proficiency in Microsoft Word, Adobe, and Outlook. Experience with a case management program is a plus. Attention to detail and accuracy of work are critical, as well as exceptional organizational skills and the ability to multi-task in a fast-paced environment. Strong communication skills are required, and the candidate must be able to follow established office procedures with minimal guidance. A professional and friendly demeanor with clients, adversaries, and co-employees is a must.

Responsibilities

  • Communicating with clients, expert witnesses, courtroom staff, and commercial vendors.
  • Preparing new case documents.
  • Scheduling and arranging meetings, conferences, and/or depositions (whether in-person or by Zoom) with clients, attorneys, or other individuals and notifying the interested parties.
  • Receiving and directing visitors courteously.
  • Opening, sorting, logging (on calendars and/or ticklers), and distributing incoming mail.
  • Ensuring that copies of correspondence and documents are properly filed and distributed.
  • Preparing outgoing correspondence from dictation, drafts, or hand-written notes, or composing routine correspondence.
  • Writing outgoing correspondence to request medical records from Medical Record Providers.
  • Calling medical record providers to ensure receipt of requests.
  • Taking or transcribing dictation.
  • Preparing subpoenas and other legal documents.
  • Preparing and assembling materials, documents, and exhibits for meetings, depositions, court filings, and court appearances.
  • Filing court documents electronically, ensuring they are in proper format and contain all necessary portions or related documents for court acceptance.
  • Submitting and/or filing (electronically or otherwise) legal documents timely.
  • Maintaining attorney's calendar.

Requirements

  • 1-3 years of legal secretary/assistant experience in civil litigation.
  • Excellent telephone etiquette and client interaction skills.
  • Ability to type 80 or more accurate words per minute.
  • Knowledge of court rules and electronic filings.
  • Digital transcription experience.
