About the position

We are seeking a detail-oriented and organized Legal Assistant to support our legal team. The ideal candidate will assist with various administrative tasks, manage case files, and ensure the smooth operation of the legal department. This role requires strong communication skills, a high level of discretion, and the ability to work effectively under pressure. The Legal Assistant will be responsible for document management, which includes preparing, formatting, and editing legal documents, correspondence, and reports. The candidate will also organize and maintain both physical and electronic files to ensure easy access and retrieval of information. In addition to document management, the Legal Assistant will serve as a point of contact for clients, scheduling appointments, and answering inquiries. The role involves assisting attorneys in preparing for hearings, trials, and meetings, which includes organizing exhibits, researching case law, and drafting pleadings. Calendar management is another key responsibility, where the Legal Assistant will maintain and update attorneys' calendars, schedule meetings, and track deadlines for case filings. Legal research will also be a part of the job, requiring the candidate to conduct research using online databases and other resources to support case preparation. Administrative support tasks such as filing, copying, scanning, and data entry will be required, along with managing incoming and outgoing mail. The Legal Assistant will assist with the tracking and billing of attorney hours, processing invoices, and client payments. Additionally, the candidate will prepare and file legal documents with courts, including e-filing where applicable, while maintaining strict confidentiality of all client information and legal matters.

Responsibilities

Requirements

  • High school diploma or equivalent required; an associate degree or paralegal certification is preferred.
  • Minimum of 2 years of experience as a legal assistant.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software (e.g., Clio, LexisNexis).
  • Strong written and verbal communication skills.
  • Attention to detail and excellent organizational abilities.
  • Ability to work independently and as part of a team, manage multiple priorities, and meet deadlines.
  • Familiarity with legal terminology and procedures.
