Our client is a premier top 250 national law firm with international reach. They are seeking to add a Corporate Legal Assistant to their team in Stamford, CT. The Legal Assistant is responsible for managing, producing and processing administrative and client-specific information in a manner that ensures that the firm successfully meets its business and client service objectives. Providing support to timekeepers and working as part of a virtual support team, the Legal Assistant is responsible for complex work that requires knowledge of corporate practice, knowledge of procedures and filing requirements with government agencies, and knowledge of and adherence to compliance policies (e.g. conflicts of interest, privacy, deadline docketing, misuse of inside information). Responsibilities will include: typing, editing, formatting and proofreading a variety of moderate to complex documents; independently performing a full range of administrative support including full calendar management, travel arrangements, meeting facilitation, and expense tracking; managing and organizing files (both digital and paper); establishing and maintaining client, departmental and administrative files and workspaces timely using established firm and department protocols for FileSite and document naming conventions; delegating work to firm resources to effectively complete work assignments; assembling documents in preparation for client transactions and filing with agencies; understanding month-end closing schedules and reminding timekeepers that time must be released in InTapp to meet closing deadlines; editing billing narratives according to firm time entry standards in CMS or Prebill Viewer; managing and tracking administrative aspects of client/matter intake and management of the matter once opened; entering/obtaining required information; identifying New Business Intake "NBI" stage; finalizing the draft engagement letter; communicating client billing standards and rates to appropriate individuals; ensuring final engagement letter is provided to Matter Maintenance and stored in Virtual Files; leveraging firm tools, such as the portal and firm workspaces, to locate information; downloading documents to save in FileSite; creating Share Files for client matters; preparing electronic and hard copy mailings; and leveraging QuickLook to obtain financial and other information. Basic Lexis and internet research may also be required as needed.
