Gerber Ciano Kelly Brady, a multi-office, multi-state law firm, is seeking an entry-level legal assistant for an immediate full-time position. This role is designed to support the firm across its entire footprint, providing essential assistance to attorneys and legal teams. The ideal candidate will be someone who can deliver insightful support and produce high-quality work. The legal assistant will be expected to engage with team members, show initiative, work independently, and manage multiple priorities effectively. In this role, the legal assistant will undertake a variety of administrative tasks to support the firm’s operations. Responsibilities include scanning, copying, and printing documents, formatting and proofreading materials for accuracy, and entering information into databases as needed. The assistant will also process expense reports, manage large client mailings, and type dictation. Maintaining electronic files by scanning documents and saving them to the firm's document management system is crucial, as is saving legal documents received from State and Federal Court e-filings. The legal assistant will assist in scheduling meetings and depositions, creating and sending electronic links to clients and vendors, and preparing correspondence, pleadings, discovery, and motions. Additionally, the role involves electronic filing of legal documents in State and Federal Courts, working independently or collaboratively on ongoing projects, and following office workflow procedures to ensure maximum efficiency. Responsibilities

  • Supports team members with various administrative tasks, such as scanning, copying or printing of documents
  • Formatting, proofreading and editing all materials for extreme accuracy and clarity
  • Assists with entering information into databases when needed
  • Processes expense reports
  • Processes large client mailings
  • Types dictation
  • Assists with maintaining electronic files by scanning documents and saving them to the firm's document management system
  • Saves legal documents received from State and Federal Court e-filings to the firm document management system
  • Assists with scheduling meetings and depositions
  • Assists with creating, and sending, electronic links to clients, opposing counsel, firm vendors, etc.
  • Assists with preparing correspondence, pleadings, discovery, motions, etc.
  • Assists with electronic filing of legal documents in State and Federal Courts
  • Works independently and with a team when needed for ongoing projects
  • Follows office workflow procedures to ensure maximum efficiency
  • Performs general administrative and/or clerical duties

Requirements

  • Proficient in MS Word, Excel, Outlook and PowerPoint
  • Strong keyboarding skills
  • Ability to multi-task and attention to detail
  • Excellent communication and organizational skills
  • Prior clerical experience is preferred (law firm experience is a plus)
  • Technology savvy
  • Strong attention to detail and highly organized
  • Ability to work under deadlines and have some flexibility in their work schedule
