We are representing a Personal Injury defense firm located in the Phoenix area that is seeking a dedicated Legal Assistant to join their team. The Legal Assistant will play a crucial role in supporting the Litigation team by managing client communications, organizing case files, and ensuring that all necessary documentation is up to date. In this role, the Legal Assistant will be responsible for introducing new clients to the Litigation team promptly, ensuring that all client interactions are handled with professionalism and care. The position requires a proactive approach to managing and updating client files and profiles, responding to voicemails within a 24-hour timeframe, and organizing incoming mail efficiently. The Legal Assistant will also be tasked with tracking important deadlines and events, scheduling meetings between the Litigation Paralegal, Attorney, and clients, and maintaining the Medical Table Deadline Excel spreadsheet. Additionally, the Legal Assistant will follow up on medical records and billing requests, coordinate client depositions, mediations, and arbitrations, and assist clients with paperwork and settlement distributions. This role is essential in ensuring that the Litigation team operates smoothly and that clients receive the support they need throughout their legal journey.

Responsibilities

  • Introduce the new Litigation team to the client promptly.
  • Review and update files and Client Profiles as needed.
  • Respond to all voicemails within 24 hours.
  • Manage and organize incoming mail.
  • Keep track of important deadlines and events.
  • Schedule meetings between Litigation Paralegal, Attorney, and client.
  • Maintain the Medical Table Deadline Excel spreadsheet.
  • Follow up on medical records and billing requests.
  • Coordinate client's depositions, mediations, and arbitrations.
  • Assist clients with paperwork and settlement distributions.

Requirements

  • High school diploma or equivalent.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively in a team.
  • Prior experience in personal injury legal work.
  • Proficiency in Microsoft Suite.
