Our client is seeking a dedicated and detail-oriented Legal Assistant to join their team. This position is hybrid, requiring full-time in-office attendance initially to acclimate to the firm’s culture, processes, and to foster relationships with the team. The successful candidate will possess legal assistant experience and will be responsible for supporting multiple attorneys simultaneously, primarily within insurance defense firms. The ideal candidate takes pride in their work and ensures that all output reflects the firm’s standards of excellence. In this role, the Legal Assistant will be tasked with a variety of responsibilities, including typing correspondence, reports, opinions, agreements, memoranda, applications, and all legal documents. In the absence of an attorney, the assistant will handle client telephone inquiries, record messages, and follow up as necessary, while also making appointments for clients. Maintaining good public relations with clients and observing the confidentiality of the attorney-client relationship is paramount. The Legal Assistant will also review and prioritize incoming mail, ensuring that outgoing mail—whether local, foreign, express, or special courier—is dispatched in a timely manner. They will maintain both client and general files, enter new client/matter data into the computer system, and prepare and maintain client contact information. Periodic reviews for potential storage of older files will be conducted, and files will be prepared for closure as needed. Additionally, the assistant will review the monthly docket report, establish and maintain a calendar and deadline reminder system, and inform the docketing department of new and completed matters. Furthermore, the Legal Assistant will enter time for attorneys, law clerks, technical writers, and patent agents into the time and billing software/system, ensuring that timesheets are submitted promptly. They will process bills, proof billing invoices, and finalize bills after attorney input. Reporting filings to clients and monitoring the attorney's docket in conjunction with the docketing department are also key responsibilities of this role.
