About the position

The Legal Assistant position at The HR SOURCE in New York, NY, is a full-time role that offers a hybrid work environment. The ideal candidate will be responsible for managing electronic document systems and ensuring compliance with integrity review processes for firms seeking to do business with our client. This role requires obtaining a SWAC clearance and involves conducting thorough integrity reviews against various sources to identify any potential integrity issues. In the event that no integrity issues are found, the results of the integrity review, along with a scanned copy of the first page of the Integrity Checklist, will be sent to the requestor for their records. All backup documentation must be scanned and filed appropriately. However, if any integrity issues or red flags are identified during the review, the integrity package, along with supporting documentation, must be submitted to the Manager of the unit for further review. The Manager will follow the company's established procedures to resolve any identified issues. Once resolved, the integrity package will be returned to the Vendor Integrity Reviewer, and a notice will be sent to the requester, with all findings documented, scanned, and filed accordingly. Additionally, the Legal Assistant will be responsible for organizing electronic files and creating record boxes for off-site storage. This includes handling the necessary paperwork to send records to the off-site facility and maintaining a record of documents prepared for storage. It is crucial that all completed original Vendor Integrity Check (VIC) Packages are scanned, filed, and archived correctly. The role may also involve other related tasks as requested by the Manager.

Responsibilities

  • Manage electronic document management systems effectively.
  • Conduct integrity reviews of firms seeking to do business with the client.
  • Research integrity issues using various sources as required by the client.
  • Send results of integrity reviews to requestors when no issues are identified, along with necessary documentation.
