Our client is seeking a legal assistant for their Nashville office. This position is hybrid but does require you to be fulltime in the office when you first start to learn firm culture, process, and more importantly to meet and work with the team. The person hired will have legal assistant experience and be able to support several attorneys at one time. The clients are insurance defense firms. The ideal client is someone that takes pride in their work and will not let work go out the door that is not representing the Firm properly. The legal assistant will be responsible for typing correspondence, reports, opinions, agreements, memoranda, applications, and all legal documents. In the attorney's absence, the assistant will handle client telephone inquiries, record messages, and follow up as required; they will also make appointments for clients. Maintaining good public relations with clients while observing the confidentiality of the attorney-client relationship is crucial. The assistant will review and prioritize incoming mail, ensuring that outgoing mail—whether local, foreign, express mail, or special courier—is timely deposited for delivery. Additionally, the legal assistant will maintain client and general files, enter new client/matter data into the computer system, and prepare and maintain client contact information. They will conduct periodic reviews for possible storage of older files and prepare files to be closed. The assistant will also review the monthly docket report, establish and maintain a calendar and deadline reminder system, and inform the Docketing department of new and completed matters. Furthermore, they will enter attorney/law clerk/technical writer/patent agent time into the time and billing software/system, ensure time sheets are provided to the appropriate person in a timely manner, process bills, proof billing invoices, and review and finalize bills after attorney input. Reporting the filings to clients and monitoring their attorney's docket in conjunction with the docketing department will also be part of their duties.
