About the position

Solkoff Legal, P.A., a nationally recognized boutique Elder Law firm, is seeking a part-time legal assistant to join our Delray Beach office. This position requires a commitment of 24-30 hours per week and is ideal for individuals who possess excellent client service skills, time-management abilities, attention to detail, and strong organizational capabilities. The successful candidate will be a polished, confident, and professional self-starter who can prioritize tasks, manage multiple projects and deadlines, and handle client communications effectively in a demanding, fast-paced environment. Exceptional telephone skills are essential, as the role involves communicating information clearly, kindly, and confidently to clients and visitors. In this in-person position, the legal assistant will work closely with attorneys and the Executive Legal Assistant, assisting with various responsibilities that are crucial to the smooth operation of the firm. The role includes greeting clients as they arrive, answering and routing telephone calls, scheduling and confirming client appointments, and managing accounts receivables. The legal assistant will also be responsible for preparing and maintaining both paper and electronic files, creating and proofreading client correspondence, and coordinating arrangements for attorneys' conferences and business travel. Proficiency in Clio Legal Software and the Office 365 suite, including Microsoft Word and Outlook, is required to perform these tasks efficiently. Responsibilities

  • Proficient in Clio Legal Software.
  • Greeting clients as they come into the office.
  • Answering, screening, and routing telephone calls.
  • Scheduling and confirming all client appointments.
  • Handling accounts receivables, completing professional service statements, and sending out electronic receipts.
  • Scheduling, registering, and coordinating arrangements for all attorneys' conferences, speaking engagements, seminars, and business travel.
  • Creating, formatting, typing, and proofreading client correspondence.
  • Preparing and maintaining paper and electronic files.
  • Receiving and sending out mail via regular mail, Federal Express, and Certified Mail.
  • Maintaining conference rooms, kitchen, copy machine, and reception area.
  • Witnessing and/or notarizing client documents.
  • Proficiency and comfort copying, scanning, e-mailing, and utilizing Office 365 suite products including Microsoft Word, Outlook, and other case management software.
  • Working closely with the Executive Legal Assistant on overflow duties.

Requirements

  • 2 years working in a professional office environment.
  • At least 18 years old.
  • High school or equivalent education (Preferred).
  • 1 year of experience with Microsoft Office (Preferred).
  • Ability to relocate to Delray Beach, FL 33445 before starting work (Required).
