About the position

Our busy family law firm is looking for an efficient, organized Legal Assistant who can help our attorneys and paralegals assist our clients and keep the office running smoothly. In this role, you will work closely with the team to prepare a variety of legal documents and handle essential office correspondence. This includes answering emails and phone calls, scheduling meetings and travel, and reminding the team of upcoming deadlines. As a Legal Assistant, you will be responsible for managing office correspondence and administrative tasks such as answering phone calls, communicating with opposing attorney offices, taking dictation, responding to emails, and ensuring that the team is aware of all important deadlines. You will also assist in creating various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, while proofreading documents when necessary. Additionally, you will schedule meetings and appointments for the team, such as depositions, make travel arrangements, and coordinate with outside vendors for events. Your role will also involve keeping all client files organized and up to date, responding to incoming phone calls and emails, and ensuring that the right people receive all important information. You will be responsible for small errands such as bank deposits, courthouse runs, and FedEx deliveries, as well as keeping track of all billable time and recording it in our case management system.

Responsibilities

  • Manage office correspondence and administrative tasks such as answering phone calls, communicating with opposing attorney offices, taking dictation, responding to emails, and reminding the team of upcoming deadlines
  • Undertake other duties as needed to ensure the firm operates efficiently
  • Help with creating a variety of litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when necessary
  • Schedule meetings and appointments for the team, such as depositions, make travel arrangements, and coordinate with outside vendors for events
  • Be willing to take on any other necessary administrative tasks to help the firm run smoothly
  • Keep all client files organized and up to date
  • Assist with other administrative tasks, such as data entry, copying, filing, etc.
  • Respond to incoming phone calls and emails and make sure the right people receive all important information
  • Responsible for small errands such as bank deposits, courthouse runs, FedEx, etc.
  • Keep track of all billable time and record same in our case management system

Requirements

  • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
  • At least 1-2 years of previous experience in a law firm setting performing administrative tasks
  • Ability to comfortably use all Microsoft Office products
  • Candidates should have excellent customer service skills
  • Candidates should have strong organizational skills and communication skills
