About the position

The Legal Client Services Specialist position is a semi-entry level role at a large multinational law firm located in Century City, Los Angeles. This full-time direct hire position involves overseeing reception duties, providing concierge-level service, and supporting various administrative functions. The role requires on-site presence five days a week, with potential for overtime to accommodate after-hours client engagements.

Responsibilities

  • Overseeing the reception desk including all inbound and outbound calls to the office.
  • Screening and forwarding calls to proper contacts or departments.
  • Directing guests, internal staff, and team members to appropriate offices, conference rooms or departments.
  • Visitor registration and badging upon arrival and departure.
  • Providing concierge level service to conference rooms, including scheduling and arranging meeting rooms, catering services, room setup, and audio/visual equipment coordination via internal EMS system.
  • Assisting staff and clients with requests for special arrangements or services, including transportation, restaurant reservations, travel, and lodging.
  • Maintaining front of house security and continuity with facilities team members.
  • Restocking inventory of refreshments, snacks, and office supplies as needed.
  • Processing and submitting office service-related invoices, expense reimbursement, and time entries as needed.
  • Performing administrative functions including filing, mail screening, and database support.

Requirements

  • Minimum of two years' experience in office/client services, reception, or administrative role.
  • High school diploma is required; a bachelor's or associate degree is highly desired.
  • Law firm environment background is highly desired.
  • Excellent professionalism, written and verbal communication, and strong interpersonal skills.
  • Hands-on experience in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Knowledge or use of EMS events management system is a plus.
