About the position

We are seeking a highly skilled Legal Executive Assistant for a globally recognized law firm in their Chicago office. The ideal candidate will have a minimum of 5 years of experience supporting high-level executives. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism and confidentiality. The Legal Executive Assistant will play a crucial role in ensuring the smooth operation of the legal team by providing comprehensive administrative support. In this role, you will be responsible for client service and relationship management, which involves fostering open communication, prioritizing conflicting needs, and maintaining confidentiality. You will also handle billing management, efficiently reconciling and processing expenses, actively managing timekeepers' diaries, and coordinating billing processes. Project management is another key aspect of this position, where you will compose, edit, and proofread documents, coordinate meetings and travel arrangements, and proactively assist lawyers with non-billable tasks. Additionally, you will contribute to training and professional development by participating in team activities and knowledge-sharing initiatives, while also maintaining expertise in core applications. Salaries are based on experience, starting at $85K and above!

Responsibilities

  • Foster open communication, prioritize conflicting needs, and maintain confidentiality in client service and relationship management.

Requirements

  • College degree or equivalent.
  • Expert proficiency in MS Office applications.
  • Strong organizational and interpersonal skills.
  • Proactive problem-solving and decision-making capability.
  • Ability to handle highly sensitive and confidential information.
  • 5+ years experience supporting high-level executives.
  • Law firm experience is highly preferred.
