About the position

Steptoe LLP, a prestigious Am Law 100 firm based in Washington, DC, is seeking a highly organized and detail-oriented Legal Executive Assistant to provide specialized secretarial and clerical support to the attorneys. This role involves a variety of complex tasks that are essential to the efficient functioning of the legal team. The Legal Executive Assistant will be responsible for preparing legal documents, managing correspondence, and handling billing and timekeeping for attorneys. The ideal candidate will possess a strong understanding of legal procedures and be proficient in using various software applications to facilitate their work. In the realm of document preparation, the Legal Executive Assistant will create and format a variety of legal documents and reports using Microsoft Word, ensuring compliance with court requirements. This includes e-filing documents with State and Federal Courts and proofreading materials for accuracy. The assistant will also coordinate document production with other secretaries and manage the logistics of filing court documents, including arranging for messenger or courier services as needed. The role also encompasses managing correspondence, where the assistant will originate and type various letters and memoranda based on drafts, handwritten notes, or oral instructions from attorneys. Additionally, the Legal Executive Assistant will be responsible for inputting and editing attorneys' billable time into the computer billing system, ensuring accurate records are maintained. Other essential functions include scheduling appointments, meetings, depositions, and arbitrations, as well as coordinating travel arrangements. The assistant will also create New Business Intake forms and work closely with the Records department to maintain client files. The position requires a proactive approach to providing overflow assistance when requested and executing other duties as assigned by the attorneys.

Responsibilities

  • Create a variety of legal documents and reports using Microsoft Word.
  • Format documents appropriately as required by the respective court.
  • Proofread, photocopy, assemble, and distribute prepared material as necessary.
  • Prepare court documents for filing and arrange for messenger or courier service as required.
  • Coordinate document production with other secretaries.
  • Originate and type correspondence and memoranda for attorneys.
  • Input and edit records of attorneys' billable time into the computer billing system.
  • Schedule appointments, meetings, depositions, and arbitrations.
  • Order court reporter and interpreter services, and reserve conference rooms as needed.
  • Calendar all appointments, meetings, arbitrations, depositions, trial dates, and deadlines.
  • Create New Business Intake forms in compliance with standard firm procedures.
  • Coordinate with the Records department for the creation and maintenance of client files.
  • Coordinate travel arrangements as needed.
  • Provide overflow assistance when requested.

Requirements

  • High school diploma or equivalent.
  • 4 years of legal secretarial experience.
  • Proficient in computer software including Word, PowerPoint, and Excel.
  • Excellent attention to detail and ability to manage multiple tasks under time constraints.
  • Ability to exercise discretion and independent judgment in carrying out responsibilities.
  • Excellent communication skills and strong professional customer service skills.
  • Demonstrated analytical and research skills.
  • Highly organized and a team player.

Nice-to-haves

  • Working knowledge of PACER and e-filing procedures.
