About the position

As a Legal Executive Assistant at DLA Piper, you will play a crucial role in supporting the partner's practice by managing a wide range of administrative tasks and responsibilities. This position is located in our Dallas office and requires a proactive and organized individual who can handle multiple high-priority projects simultaneously. You will be responsible for maintaining the attorney's Outlook calendars, resolving scheduling conflicts, and coordinating complex travel itineraries, including international travel arrangements. Your role will involve extensive interaction with clients and outside business contacts, requiring excellent communication and interpersonal skills. In this position, you will also be tasked with drafting correspondence, preparing reports, and ensuring that all deliverables are completed accurately and on time. You will collaborate with other team members to provide support and coverage, ensuring that the partner is well-informed of upcoming commitments and responsibilities. Additionally, you will oversee billing matters, including reviewing bills and monitoring client budgets, which are essential for the financial viability of the partner's practice. Your day-to-day activities will include preparing meeting agendas, reviewing materials for accuracy, and maintaining both paper and electronic filing systems in compliance with Information Governance policies. You will also take the lead in coordinating department or practice group meetings, ensuring that all logistics are handled effectively. This role requires a strong work ethic, a flexible and dependable attitude, and the ability to maintain confidentiality while exercising professional judgment in sensitive matters.

Responsibilities

  • Manage the attorney's Outlook calendars and resolve scheduling conflicts.
  • Coordinate complex travel itineraries, including international travel arrangements.

  • Maintain paper and electronic filing systems in compliance with Information Governance policies.
  • Oversee billing matters, including reviewing bills and monitoring client budgets.
  • Prepare meeting agendas, review meeting materials, and distribute to attendees.
  • Collaborate with peers to provide team support and coverage.
  • Exercise discretion and professional judgment with confidential matters.
  • Engage in extensive direct interaction with clients and outside business contacts.
  • Coordinate department or practice group meetings, ensuring all logistics are handled.

Requirements

  • High School diploma or GED required.
  • 5 years of professional executive administrative experience supporting partners and/or executives.
  • Advanced computer skills in Excel, Word, and PowerPoint are required.
  • Excellent communication and interpersonal skills to interact with various stakeholders.
  • Solid organizational skills to manage multiple high-priority projects.
  • Strong time management skills and ability to work in a fast-paced environment.
  • Demonstrates a strong work ethic and a positive attitude.
  • Ability to maintain confidentiality and demonstrate good professional judgment.
