The NY office of a global law firm is seeking a Legal Executive Assistant to support their Intellectual Property Practice Group. This role is crucial in providing legal administrative support to a team of 5 to 6 lawyers who specialize in complex patent, copyright, and trademark litigation. The position requires a high level of collaboration and communication, as the assistant will be involved in various aspects of legal documentation and client interaction. The ideal candidate will thrive in a fast-paced environment and be adept at managing multiple tasks simultaneously. In this role, the Legal Executive Assistant will be responsible for preparing, editing, and proofreading a variety of legal documents, including briefs, memoranda, and correspondence. The assistant will also handle the preparation of complex and confidential documents, such as license agreements, joint venture agreements, and non-disclosure agreements. Additionally, the role involves assisting with electronic and paper court filings, preparing and transmitting Assignments, Declarations, and Power of Attorney documents, and managing billing processes by reviewing pro formas and preparing cover letters for client invoices. The assistant will play a key role in maintaining communication with clients by reporting USPTO and foreign trademark office communications, conducting status checks on active foreign trademarks, and coordinating with foreign associates. Other responsibilities include maintaining the attorneys' calendars, coordinating attendance at conference calls and meetings, and handling confidential information with discretion. The assistant will also be responsible for maintaining the lawyers' contacts lists in Outlook and InterAction, as well as assisting with time entry, expense reports, and budget spreadsheets.
