The Client Intake Specialist with Receptionist Duties is a vital role at our law firm, serving as the first point of contact for clients. This position requires exceptional customer service skills, strong organizational abilities, and the capacity to manage various administrative tasks in a fast-paced environment. The ideal candidate will assist clients with intake processes, maintain accurate records, and facilitate communication between clients and attorneys.

Responsibilities

  • Greet clients and visitors in a courteous and welcoming manner.
  • Conduct initial intake interviews with clients to gather essential information.
  • Assist clients in completing intake forms and documents.
  • Ensure all client information is accurately recorded and maintained in the database.
  • Coordinate appointments and consultations for attorneys.
  • Manage incoming calls and route them to the appropriate personnel.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain cleanliness and organization of the reception area.
  • Assist with scheduling and managing firm calendar.
  • Serve as a liaison between clients and attorneys, relaying messages and inquiries promptly and accurately.
  • Respond to client inquiries via phone, email, and in-person with professionalism and empathy.
  • Maintain confidentiality and discretion when handling sensitive client information.

Requirements

  • High school diploma or equivalent.
  • Previous experience in a receptionist or customer service role, preferably in a legal or professional services environment.
  • Strong interpersonal skills with the ability to communicate effectively with diverse clientele.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work independently or as part of a team.
