About the position

The Legal/OEC Administrative Assistant at Abbott provides essential administrative support to the Legal/OEC organization, including high-level executives and team members. This role is crucial for ensuring efficient operations within the department, managing various administrative tasks, and maintaining confidentiality in handling sensitive information.

Responsibilities

  • Provide comprehensive administrative support to at least one Divisional Vice President (DVP) within the Legal/OEC organization.
  • Manage calendars, schedule travel, and process expense reports.
  • Create and modify business documents, answer phones, and manage correspondence.
  • Utilize advanced software skills, including Microsoft Office Suite and other business-specific software such as SharePoint and SAP.
  • Interact consistently with high-level executives and work with cross-functional teams on projects.
  • Build strong working relationships and networks to drive efficiency.
  • Provide basic project management support and assist with meeting/event coordination.
  • Conduct onboarding activities, including workspace set-ups for new employees.
  • Prioritize workload to ensure departmental support needs are fulfilled.
  • Maintain departmental files in compliance with corporate policy.

Requirements

  • High School diploma or equivalent; some college preferred.
  • 5+ years of previous administrative experience or equivalent required.
  • Advanced verbal and written communication skills.
  • Advanced experience in Microsoft Office Suite (Teams, PowerPoint, Outlook, Excel, and Word) required; SharePoint, SAP, and Concur experience preferred.
  • High level of integrity and professionalism in handling sensitive information.
  • Ability to manage competing priorities and work independently and as part of a team.
  • Proactive problem solver with strong attention to detail.
