About the position

The Office of Administrative Hearings (OAH) is seeking a non-permanent Legal Office Assistant (LOA) to join our Headquarters division in Spokane Valley, WA. This position is essential to the successful completion of the OAH mission, which is to provide independent, fair, and neutral administrative hearings on disputes referred by state and local government agencies. The LOA will play a critical role in supporting the agency by handling various administrative tasks that contribute to the efficient operation of the office. The responsibilities of the LOA include processing incoming and outgoing mail and portal documents, managing case intake and setup, creating and publishing notices of hearing, and maintaining electronic files. The LOA will also be responsible for proofreading documents, processing additional supplemental electronic or hard copy case documents, and transmitting records. This position is expected to last approximately 12 months and will primarily be in-office, with some telework options available after a training period. The OAH was established by the 1981 Legislature to ensure that Washingtonians have access to a fair and impartial forum for resolving disputes. With a workforce of 230 employees, including 120 Administrative Law Judges (ALJs), OAH conducts hearings for over 30 agencies and 160 programs, covering a wide range of issues such as unemployment insurance benefits, child support, and medical benefits. Responsibilities

  • Draft, process, and publish notices received from the Legal Assistant team.
  • Process and publish orders received from Administrative Law Judges (ALJs).
  • Ensure all documents are processed and published timely according to caseload specifications.
  • Perform electronic quality checks on all notices and orders to ensure documents meet proofing standards.
  • Ensure notices and orders are uploaded to the case management system (PRISM).
  • Review and manage the PRISM dashboard to ensure all orders have been published and mailed.
  • Retrieve and process incoming USPS mail, including opening, date stamping, and scanning documents.
  • Assist the Legal Assistant team with supplemental document management and case setup as needed.
  • Prepare and upload documents received from various sources to PRISM.
  • Provide back-up coverage for other support team members and assist at reception when needed.

Requirements

  • Mid-level experience in an administrative or legal support role.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in using electronic document management systems, preferably PRISM.
  • Excellent written and verbal communication skills.
