About the position

The Legal Operations Analyst position at the University of California Office of the President is a full-time role focused on supporting the Legal Business Operations and Technology (LBOT) team. The analyst will engage in various tasks including e-billing for outside counsel, vendor management, and internal training programs. This role emphasizes collaboration, diversity, and continuous improvement within the legal operations framework, contributing to the overall mission of the UC Legal department.

Responsibilities

  • Assist the Legal Operations Billing Analyst with reconciliation audits, invoice inquiries, and workflow triage.
  • Support the Outside Counsel Vendor Management Program.
  • Create training materials for UC Legal applications and present training to personnel systemwide.
  • Serve as the point of contact for desktop support and triage, developing relationships with IT at UCOP and campus locations.
  • Support the Knowledge Management Program.
  • Perform general system administration backup duties and recommend quality customer service standards.
  • Prioritize and respond to ad hoc report requests, conducting analysis and preparing summaries.

Requirements

  • Minimum of 2 years of experience in customer service, finance and billing, or general system administration.
  • Demonstrated ability to work with diverse backgrounds and communicate effectively with technical and non-technical personnel.
  • Self-motivated with the ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
  • General knowledge of business and process analysis functions.

Nice-to-haves

  • Demonstrable data analytics and reporting skills.
  • Familiarity with information security best practices.
  • Knowledge of SaaS system administration, including CounselLink, NetDocuments, SharePoint, SmartSheet, and Slack.
  • Experience with legal eBilling software and familiarity with LEDES format.
  • In-house legal or law firm experience and knowledge of legal operations.
  • Experience developing training materials and leading training sessions.
