About the position

The Legal Operations Coordinator at Boehringer Ingelheim will support the U.S. Legal department by enhancing efficiency and innovation through process streamlining and technology implementation. This role acts as a vital link between the U.S. Legal Department and outside counsel, focusing on strategies that improve organizational performance, reduce costs, mitigate risks, and ensure compliance in legal operations activities.

Responsibilities

  • Coordinate all activities related to the U.S. Legal e-billing / Matter Management System, including processing outside counsel billing and invoicing.
  • Provide functional support for the e-billing system, coordinate onboarding for new users, and train existing users.
  • Manage the preferred provider outside counsel network and oversee its renewal.
  • Serve as the primary relationship lead with PPN firms regarding operational and financial issues.
  • Optimize value-added services of the PPN and ensure tracking and auditing of such services.
  • Liaise between the Legal Department and PPN to assist in identifying appropriate outside counsel and vendors.
  • Assess operational needs of the U.S. Legal Department and develop solutions to meet those needs.
  • Lead projects aimed at improving productivity, process improvement, and cost optimization in the U.S. Legal Department.
  • Prepare reports for General Counsel, Corporate Legal, Finance, and others, including spend and budget analyses and case update reports.
  • Develop processes for outside counsel interface with the system, ensuring security processes are in place.
  • Interface with outside counsel to resolve non-substantive billing discrepancies.
  • Act as the primary point of contact for internal BI stakeholders, including Finance and IT, to ensure accurate reporting and auditing.

Requirements

  • College education from an accredited institution required.
  • Five (5) years' experience in a related field preferred.
  • Experience in billing coordination with law firms, including knowledge of legal department matters and attorney/paralegal processes.
  • Advanced knowledge of matter management systems and Microsoft Office (Excel, Word, PowerPoint).
  • Strong communication and organizational skills.
  • Experience in an operations role, strategy development, and project management.
  • Strong interpersonal skills with the ability to interface effectively with individuals of all levels.
