The Legal Operations Specialist will be a key support for Tilson's legal operations function, responsible for maintaining operational velocity without compromising quality. This entry-level position requires strong attention to detail, the ability to meet deadlines, and a high degree of customer-oriented emotional intelligence. The role involves supporting the legal operations team with various administrative functions, including preparation and drafting of materials, assisting with documentation execution, providing knowledge management assistance, and maintaining organized records. The specialist will also handle frontline contract management within the CLM, Ironclad, assist with matter-related administrative needs, and help with license-related documentation. This position is designed for individuals looking to enter and develop within an in-house Legal Operations department. While skilled paralegal experience is helpful, it is not necessary for the right candidates. The responsibilities may evolve over time due to the high-velocity pace of Tilson's growth and the technological changes in the industries it serves. The role will involve assisting with contracts, drafting corporate and legal information, and supporting various legal tech projects. The ideal candidate will possess excellent planning, prioritization, and organizational skills, along with a disposition to critically think and problem-solve on the fly. The position is local to Portland, Maine, but remote work is also an option, with occasional travel to headquarters expected.

Responsibilities

  • Support Tilson's legal operations team with various administrative functions.
  • Assist with the preparation and drafting of materials and documentation.
  • Provide knowledge management assistance to Tilson teams and maintain organized records.
  • Manage frontline contract management within the CLM, Ironclad.
  • Assist with matter-related administrative needs and license-related documentation.
  • Draft corporate and legal information for vendor onboarding and RFP/Bid related DDQ documents.
  • Assist with specialized projects within the legal tech stack, including data cleanup or diligence projects.
  • Collect key data and documentation for audits, compliance, or special projects as requested.
  • Provide administrative support to the Legal Operations Team, including drafting license applications and electronic signature distribution.
  • Triaging support tickets for the Legal team within the ticketing system, Cherwell.
  • Assist with scheduling CLE hours and internal courses for Tilson's attorneys.
  • Help plan team building and strategy summits throughout the year.

Requirements

  • Excellent planning, prioritization, and organizational skills.
  • Impeccable attention to detail and ability to produce clean work products consistently.
  • Strong communication skills that demonstrate patience and composure.
  • Complete comfort with office administration and new information system tools.
  • Strong Microsoft Office skills.
  • Experience with Contract Lifecycle Management and electronic signature tools preferred; willingness to learn necessary.
  • Ability to proactively plan to meet the needs of the business while adapting to immediate needs.
  • Ability to multi-task and prioritize duties in a collaborative team setting.

Nice-to-haves

  • Paralegal experience or other legal administrative experience preferred.
  • Notary certification or willingness to become a notary preferred.
  • Local to Portland, Maine, preferred but not necessary.
