About the position

The Legal Operations Specialist at Oldcastle BuildingEnvelope, Inc. is a pivotal role designed to support the in-house legal department by managing and coordinating legal operations and related matters. This position offers a unique opportunity to shape the role and contribute to the growth of a leading building materials company. The specialist will work closely with the General Counsel and various departments to enhance legal processes, ensure compliance, and support strategic initiatives.

Responsibilities

  • Manage and coordinate Legal Operations and related matters.
  • Assume a leadership role on behalf of the General Counsel to ensure cross-functional projects are on deadline and meet key performance indicators.
  • Evaluate and implement Legal Operations technology support, such as contract lifecycle management.
  • Analyze current Legal approval processes to identify cost-effective improvements.
  • Standardize Legal and Compliance policies and processes.
  • Coordinate administration of insurance claims and related litigation.
  • Ensure compliance with litigation discovery obligations.
  • Maintain the Company's Intellectual Property portfolio.
  • Collaborate with Human Resources to drive Compliance training.
  • Partner with the Senior Corporate Paralegal to maintain accurate and confidential files.
  • Support M&A diligence and integration activities.
  • Prepare analyses of Legal department spending against the annual operating plan.
  • Coordinate billing and administration of all Legal vendor relationships.
  • Review and track outside counsel bills for adherence to negotiated terms.
  • Collect monthly accruals of incurred but unbilled charges from Legal vendors.
  • Prepare project and annual budgets and monitor related metrics.

Requirements

  • Experience working for or with an in-house Legal department or law firm.
  • Familiarity with technology processes and programs used by in-house legal departments.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, Adobe Acrobat).
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and meet deadlines.
  • Experience with software solutions for Legal billing and contract lifecycle management is preferred.

Nice-to-haves

  • Some paralegal experience is preferred but not required.
  • Experience in project management principles.
  • Legal executive administrative experience with ambition to advance into a Legal Operations role.
