About the position

The Legal Operations Specialist supports the operational and technical needs of the Legal Department through the development and optimization of business processes and systems to enable leaders to achieve goals and increase the value of the legal team. Reporting to the Director, Legal Operations, the Legal Operations Specialist plays a pivotal role to support cross-functional alignment, governance, cost management, and efficiencies in partnership with other functions and stakeholders. The role serves as the primary point of contact for questions and issues regarding all the legal systems in use for the day-to-day legal operations. In this position, the specialist provides day-to-day operational support to the in-house legal department on various legal applications and processes, including access granting, user training, troubleshooting, and vendor support. They serve as the department's billing and vendor specialist to ensure appropriate vendor set-up and timely billing, escalating issues as necessary for appropriate resolution. The specialist assists in managing departmental procurement processes and program costs to ensure accurate forecasting and compliance with the department budget and periodic reports. Additionally, the Legal Operations Specialist assists with legal data management, including monitoring and ensuring compliance with internal document management and corporate retention policies. They collaborate with the Legal Operations team and business stakeholders to conduct analyses, define requirements, implement systems, and make approved process improvements. The role also involves coordinating and participating in legal technology implementation/improvement projects, including configuration, testing, and end-user training development and deployment. The specialist manages and updates job-related information in relevant legal applications and provides system support to the legal team during data migration efforts. Other duties may be assigned to support the efficient operation of the department.

Responsibilities

  • Assists with legal data management including monitoring and ensuring compliance with internal document management and corporate retention policies.

Requirements

  • Bachelor's degree in Business Administration, Accounting, Finance, Paralegal Studies, or related field is required.
  • Minimum four (4) years' experience in administrative support or operational role, preferably in an in-house legal department or law firm is required.
  • Strong proficiency with Microsoft Office suite.
  • Strong technical skills, including the ability to work with databases, document management and ebilling software.
  • Strong research and analytical skills with strong business acumen.
  • Demonstrated experience to adapt well to fluctuations in workload and changes in responsibilities and working under pressure with a sense of urgency.
  • Exceptional communication, presentation, and organizational skills with a focus on detail and quality.
