About the position

Cozen O'Connor is seeking an experienced full-time Litigation Legal Practice Assistant with a strong background in litigation within California State and Federal Courts. This position will be based out of our Los Angeles office and offers a hybrid work schedule, allowing for three days in the office and two days of remote work. The ideal candidate is an enthusiastic self-starter who can effectively manage multiple tasks under time constraints while maintaining exceptional attention to detail. The role requires the ability to take initiative, think strategically and independently, and interact with all levels of the firm. Excellent communication, organizational, and computer skills are essential for assisting senior attorneys in their daily tasks. The responsibilities of the Litigation Legal Practice Assistant include the preparation of various legal documents, ensuring an efficient workflow that encompasses duplication, printing, mailing, and merging of documents. The assistant will also be responsible for proofreading all work for both content and context, as well as preparing and maintaining client and office files in both electronic and paper filing systems. Additional duties involve the preparation and submission of new client and/or new matter forms, planning and making travel arrangements, and preparing and submitting expense reports and check requests. The assistant will work closely with the Billing department to resolve any billing issues and efficiently process final billing statements, while also managing clients' electronic billing systems and monitoring billing processes. Daily communication with clients via phone or email, scheduling and coordinating meetings and conferences, and demonstrating strong document processing and project management skills are also key components of this role.

Responsibilities

  • Preparation of legal documents for litigation.
  • Efficient workflow management including duplication, printing, mailing, and merging of documents.
  • Proofreading all work for content and context accuracy.
  • Preparing and maintaining client and office files in electronic and paper filing systems.
  • Preparation and submission of new client and/or new matter forms.
  • Planning and making travel arrangements including transportation, automobile rentals, and hotel reservations.
  • Preparing and submitting expense reports and check requests.
  • Collaborating with the Billing department to resolve billing problems and process final billing statements efficiently.
  • Managing clients' electronic billing systems and monitoring billing processes.
  • Communicating with clients daily via phone or email.
  • Scheduling and coordinating meetings and conferences.
  • Demonstrating strong document processing skills.
  • Exhibiting strong project management skills.

Requirements

  • Minimum 5 years of recent litigation experience.
  • Experience with State and Federal e-filing.
  • Familiarity with litigation procedures and processes.
  • Calendaring and docketing experience.
  • Experience with a document management system is preferred.
  • Redlining experience is preferred.
  • Proficiency with Microsoft applications, particularly advanced skills in Word and Outlook.
  • Outstanding written and verbal communication skills; ability to interact professionally with clients, attorneys, and staff is required.
  • Ability to work overtime is required.
  • High school diploma or its equivalent is required.
