About the position

The Legal Practice Assistant plays a crucial role in supporting legal professionals by managing various administrative tasks essential for the smooth operation of a law office. This position requires a high level of organization, attention to detail, and the ability to work under tight deadlines. The assistant will be responsible for typing, proofreading, formatting, and editing legal documents, including correspondence, memoranda, and agreements. They will also assist in drafting documents as needed, ensuring that all materials are accurate and professionally presented. In addition to document management, the Legal Practice Assistant will open new client and matter files using the firm's software, calendar case-specific deadlines, and coordinate court hearings, depositions, and mediations. They will prepare documents for filing in both State and Federal courts and work closely with billing and collections coordinators to prepare and mail invoices. Maintaining electronic files and email correspondence is also a key responsibility, as is scheduling appointments, making travel arrangements, and setting up conference calls and video meetings. The role requires the assistant to improve efficiencies by utilizing various software applications, expanding their knowledge, and learning new skills to enhance the quality and efficiency of their work. Collaboration with colleagues and professionals in specified practice areas is essential, as is liaising with document services for all document production projects. The assistant must stay informed about practice-specific laws, rules, processes, and procedures, and effectively communicate with clients, colleagues, court personnel, and opposing counsel as directed. Basic research and analysis may also be required, along with other duties as assigned.

Responsibilities

  • Type, proofread, format and edit correspondence, memoranda, agreements and other legal documents under time-sensitive deadlines.
  • Assist with drafting of legal documents as needed.
  • Open new client and new matter files using Firm software.
  • Calendar case-specific deadlines and coordinate court hearings, depositions, and mediations.
  • Prepare documents for filing in State and Federal courts.
  • Coordinate with billing coordinator or collections coordinator for the preparation and mailing of invoices.
  • Maintain email and electronic files using Firm software.
  • Schedule appointments and meetings; make travel arrangements; set-up conference calls and video meetings.
  • Prepare and submit expense/reimbursement reports.
  • Improve efficiencies by utilizing software applications and expanding knowledge of new applications and skills.
  • Work as a team and in conjunction with colleagues and professionals in specified practice areas.
  • Liaise with document services for all document production projects.
  • Keep abreast of practice-specific laws, rules, processes and procedures.
  • Effectively communicate with clients, colleagues, court personnel, and opposing counsel, as directed.
  • Conduct basic research/analysis, as directed.
  • Perform other duties as assigned.

Requirements

  • A minimum of three years of experience as a legal assistant in a law environment, or comparable experience.
  • High school diploma required; college degree is a plus.
  • Knowledge and understanding of probate administration, estate planning, and/or bankruptcy strongly preferred.
  • Willingness to learn and operate in other practice areas, as needed.
  • Prior use of a document management system (NetDocs) is a plus.
  • Proficiency with MS Word, Outlook, and Excel is required.
  • Ability to organize and prioritize workload and work in a fast-paced environment.
  • Excellent written and verbal communication skills and the ability to professionally interact with professionals, clients, and staff.
  • Ability to problem-solve and anticipate issues/problems.
  • Ability to work overtime, as needed.

Nice-to-haves

  • Experience with document management systems other than NetDocs.
  • Additional certifications related to legal assistance or paralegal work.
