About the position

The Legal Project Coordinator plays a crucial role in managing daily functions and processes within the legal department, providing administrative support, and enhancing efficiencies through technology. This position requires a resourceful individual who can coordinate tasks across departments, understand deal flow, and implement solutions that improve data sharing and accountability. The role is integral to fostering a cohesive team environment, despite geographical distances, and involves a variety of responsibilities from report generation to executive support for the General Counsel.

Responsibilities

  • Create reports and tools for analysis of legal team metrics.
  • Utilize the legal lease deal status tracker to summarize time-based metrics around deal flow.
  • Pull regular reports from Everhour and Trello to create streamlined reports of legal team billings.
  • Integrate data from multiple sources to report all-in costs associated with deals with IT support.
  • Organize and administer team meetings, coordinating content with the General Counsel.
  • Support and help create team-building activities and programs.
  • Provide general administrative support for the legal team, including drafting legal correspondence and documents.
  • Strategize and execute organizational methods for digital and paper files.
  • Accurately tag and file documents for the legal team, with familiarity in real estate documents being a plus.
  • Tag and code legal bills for reporting purposes, potentially training others in this process.
  • Create internal legal invoices as needed.
  • Circulate documents for signature using the company's digital signature program.
  • Liaise between legal and other departments to create and implement procedural efficiencies.
  • Provide executive administrative support to the General Counsel, including travel arrangements and expense reports.
  • Support the lease administrator function by preparing execution packages and finalizing lease approval sheets.
  • Undertake special projects as assigned by the General Counsel.

Requirements

  • Bachelor's Degree or 3 years of legal support, executive support, or administrative experience.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal skills to build and sustain relationships across departments.
  • Curious mindset comfortable with exploring new technologies.
  • Resourceful problem solver with attention to detail.
  • Excellent time management and prioritization skills in a fast-paced environment.
  • Ability to learn tasks quickly, including self-teaching skills.
  • Experienced with Microsoft Office Suite, Adobe, Sharepoint, and Teams.
  • Knowledge of VTS, MRI, Avid, Concur, Trello, DocuSign, Litera, and/or Everhour is a plus.

Nice-to-haves

  • Familiarity with real estate documents.
  • Experience with digital tools for legal processes.
