About the position

We are seeking a full-time Legal Receptionist/Secretary to maintain an efficient and orderly office environment. The role involves coordinating calendars, managing files, interacting with clients, and drafting documents. The ideal candidate will be organized, diligent, and capable of working both independently and as part of a team, with opportunities for career advancement.

Responsibilities

  • Provide administrative support to the legal team, including calendaring appointments, meetings, and court appearances.
  • File documents and manage both paper and digital files, ensuring accurate and secure storage.
  • Utilize Microsoft Office and Corel WordPerfect for document preparation.
  • Manage the office environment, ensuring cleanliness and organization.
  • Provide exceptional customer service, responding to inquiries and resolving issues professionally.
  • Handle phone calls and emails with proper etiquette.
  • Assist with data entry and customer support tasks as needed.
  • Utilize Google Suite to maintain and organize documents and spreadsheets.
  • Serve as a personal assistant to the legal team, coordinating schedules, meetings, and travel arrangements.
  • Perform other administrative tasks as required.

Requirements

  • High school diploma or equivalent required; an associate's degree or higher in a related field is preferred.
  • Prior experience as a legal secretary or in a similar administrative role.
  • Proficiency in Google Suite and computerized systems, such as QuickBooks.
  • Excellent customer service skills and experience with phone etiquette.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Familiarity with office management and data entry tasks.
  • Ability to work independently and as part of a team.
  • Strong written and verbal communication skills.

Nice-to-haves

  • Experience in customer service (1 year preferred).
