About The Position

The Legal Receptionist & Switchboard position at Ricoh Americas Corporation is responsible for providing exceptional customer service within a legal environment. The receptionist also engages in community service events and builds professional relationships within the firm.

Requirements

  • High school diploma required.
  • Two years of related business experience preferred, especially in a law firm or legal environment.
  • Associate Degree or Bachelor's degree preferred.
  • Experience with MS Office Suite, specifically Word, Excel, and PowerPoint.
  • Excellent customer service skills and attention to detail.
  • Ability to handle multiple tasks simultaneously.
  • Demonstrated organizational and communication skills.
  • Proactive attitude.

Responsibilities

  • Meets and greets all visitors and employees to the firm, providing them a professional welcome.
  • Schedules meeting rooms, ensuring necessary supplies and equipment are available prior to meetings.
  • Answers all incoming telephone calls, adhering to firm phone etiquette.
  • Engages in company and community service events or firm initiatives.
  • Performs a broad range of clerical duties that require knowledge of legal procedures and terminology.
  • Prepares documents, maintains files and calendars, and schedules appointments and meetings.
  • Prepares legal documents and correspondence from draft or dictated text.
  • Manages calendars and assists in meeting deadlines.
  • Maintains an organized workspace and performs light housekeeping duties.
  • Provides 'value added' services as approved by Site Manager/Supervisor.
  • Builds professional relationships with clients and employees.
  • Educates themselves on the firm culture and key personnel.
  • Maintains proper visitor and guest security procedures.
  • Monitors whereabouts of attorneys and staff to handle calls and visitors appropriately.
  • Serves as firm concierge, familiarizing themselves with local amenities.
  • Maintains professional appearance and cleanliness of the firm lobby.
  • Orders supplies and organizes supply areas as necessary.
  • Performs light hospitality duties when needed, such as providing coffee or ordering food.
  • Performs other duties as assigned.
