About the position

Your Insurance Attorney, a plaintiff law firm located in Miami, is seeking a Litigation Scheduling Assistant to join our First Party Department. This full-time position requires a dedicated individual with at least one year of relevant experience. The successful candidate will work closely with a Lead Attorney, focusing on scheduling and managing client needs related to active cases. The role demands proficiency in Microsoft Office and Adobe, as well as strong organizational skills to handle various administrative tasks effectively. As a Litigation Scheduling Assistant, you will be responsible for heavy scheduling of mediations and depositions, ensuring that all appointments are confirmed and organized. You will also be tasked with sending and tracking letters to clients, organizing notices and letters for depositions and mediations, and assisting with other tasks as requested by the attorney or case staff. Your duties will include composing letters, pleadings, and motions, as well as filing motions for extensions of time when necessary. You will be expected to calendar and meet deadlines, process documents, and prepare general pleadings, notices, subpoenas, correspondence, and hearing and trial exhibits. Additionally, you will assist attorneys with hearing and trial preparation and perform other duties as assigned. This position requires excellent verbal and written communication skills, strong attention to detail, and the ability to manage priorities and workflow effectively. You will need to demonstrate good judgment and the ability to make timely decisions while working independently and as part of a team. Fluency in both English and Spanish is essential, as you will be communicating with a diverse range of individuals at all organizational levels.

Responsibilities

Requirements

  • At least 1 year of related experience or equivalent
  • Proficient in Microsoft Office (Word, Outlook, Excel) and Adobe
  • Excellent verbal and written communication skills
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels
  • Good judgment with the ability to make timely and sound decisions
  • Ability to work independently and as a member of various teams and committees
  • Acute attention to detail
  • Fluency in English and Spanish
