About the position

The Legal Secretary position at the Dallas County District Attorney's Office involves providing essential secretarial support to a team of attorneys. This role is crucial in ensuring that the attorneys can complete their work efficiently and effectively. The Legal Secretary will utilize their computer skills to create standardized forms and documents, manage incoming calls, and maintain organized files and calendars. The position requires a high level of independence, as the secretary will work with minimal supervision, relying on their experience and judgment to plan and accomplish assigned tasks. In this role, the Legal Secretary will assist attorneys by making follow-up calls on cases, retrieving necessary documentation and evidence, and drafting legal correspondence. They will serve as a liaison for the department, greeting and screening visitors, routing incoming calls, and responding to routine inquiries. The secretary will also be responsible for entering and maintaining case and statistical data, generating reports, and maintaining an efficient filing system for various legal documents. Additional tasks include making copies, delivering correspondence, filing papers with the courts, and managing office supplies. The Legal Secretary may also provide limited assistance to attorneys regarding computer or software-related issues, and will perform other duties as assigned. This position is vital for the smooth operation of the legal team, requiring strong organizational skills, attention to detail, and the ability to maintain confidentiality while interacting with the public and other county employees.

Responsibilities

  • Provide routine secretarial support for a unit of attorneys.
  • Utilize computer knowledge to create forms for frequently used documents.
  • Screen telephone calls and route visitors and inquiries appropriately.
  • Compile routine data in established formats and maintain files and calendars.
  • Assist attorneys by making follow-up calls on cases and retrieving documentation.
  • Draft legal correspondence and documents using standardized formats.
  • Enter and maintain case and statistical data, generating related reports.
  • Maintain an organized filing system for legal documents, including sorting and verifying documents.
  • Assist attorneys with tasks such as making copies and delivering correspondence.
  • Provide limited assistance to attorneys regarding computer and software issues.

Requirements

  • Graduation from an accredited high school or GED program.
  • Three years of work-related experience or 45 hours of college credit, or a combination of both.
  • Ability to type 50 words per minute with proficiency in word processing, spreadsheet, and database software.
  • Ability to understand and follow written and verbal instructions.
  • Strong organizational skills and ability to process work efficiently.
  • Establish and maintain effective working relationships with county employees and the public while maintaining confidentiality.
