About the position

The Legal Secretary II position at BCforward involves processing and managing legal mail within the Legal Department. The role is crucial for ensuring that legal communications are accurately categorized and routed to the appropriate teams, requiring strong organizational skills and attention to detail. The successful candidate will also provide administrative support and collaborate with various teams to enhance workflow efficiency.

Responsibilities

  • Process and review incoming legal mail, including scanned physical letters and emails.
  • Categorize and prioritize mail based on urgency and relevance to specific teams within the department.
  • Route mail to the correct teams, ensuring timely delivery and follow-up.
  • Maintain accurate records of mail received, processed, and routed.
  • Provide administrative support to paralegals and attorneys as needed to look up past mail.
  • Translate documents from Spanish, French, or German into English and categorize mail accordingly.
  • Perform other duties as assigned by team lead.
  • Provide suggestions to improve the process and work of the team.
  • Stay updated with changes in policies and processes, and maintain knowledge of relevant procedures.
  • Review existing materials, receive updates, and participate in trainings provided by Quality team members.
  • Collaborate with Policy, Quality, Changes, and Operations teams to ensure seamless workflow.
  • Participate in improvement programs and activities to drive continuous improvement.

Requirements

  • 2+ years of experience in a law firm, corporate legal department, or related field.
  • Paralegal certification or equivalent experience.
  • Fluency in English and at least one other language (Spanish, French, or German).
  • Excellent communication, organizational, and time management skills.
  • Ability to work accurately under tight deadlines and maintain confidentiality.
  • Proficient in Microsoft Office, particularly Outlook, Word, and Excel.
  • Experience with document management systems and translation software a plus.
