The Legal Secretary for Litigation at Atkinson Andelson Loya Ruud & Romo plays a crucial role in supporting attorneys by managing a variety of administrative tasks essential for the smooth operation of the legal practice. This position requires a high level of organization, attention to detail, and proficiency in legal document preparation and management. The Legal Secretary will be responsible for preparing and revising legal documents, correspondence, memoranda, and emails, ensuring that all materials are accurate and formatted according to firm standards. This includes proofreading documents to eliminate typographical and grammatical errors, as well as assembling documents and exhibits for court filings, hearings, arbitrations, mediations, and depositions. In addition to document preparation, the Legal Secretary will manage the attorneys' calendars, scheduling appointments and meetings, and ensuring that all important deadlines are recorded on the master calendar. The role also involves maintaining client files and chron files, as well as sorting and distributing incoming mail and emails. Proficiency in using computer and transcription equipment is essential, as the Legal Secretary will produce various legal documents and correspondence using these tools. The position may also require arranging travel for attorneys, including hotel, airline, and transportation bookings, and assisting in the preparation of marketing materials such as pitch folders and PowerPoint presentations. Overall, the Legal Secretary must possess strong interpersonal skills to communicate effectively with clients, attorneys, vendors, and staff, and must be able to prioritize and manage multiple tasks efficiently in a fast-paced legal environment.

Responsibilities

  • Prepares and revises legal documents, correspondence, memoranda, and emails from written form as well as from transcription.
  • Assembles documents and exhibits for court filings and recordings, hearings, arbitrations, mediations, depositions, or other engagements.
  • Proofreads prepared materials to ensure documents are free from typographical and grammatical errors and are formatted according to Firm standards.
  • Reads, sorts, and prints incoming mail and emails and distributes as appropriate.
  • Schedules appointments and meetings for attorneys.
  • Manages and maintains calendar for deadlines; ensures important dates are recorded on the master calendar.
  • Maintains client files and chron files.
  • Utilizes computer and transcription equipment to produce legal documents, correspondence, memoranda, and emails, as well as other office equipment such as photocopier, fax machine, and postage meter.
  • Arranges for travel for attorneys including hotel, airline, and transportation.
  • Assists in the preparation of marketing materials such as pitch folders, attorney biographies, and PowerPoint presentations.

Requirements

  • High School Diploma or GED.
  • Prior litigation legal secretary experience.
  • Ability to type, read, and write to proofread and perform initial input and revisions to legal documents, correspondence, memoranda, and emails.
  • Knowledge of MS Office Suite including Word, Excel, and PowerPoint.
  • Knowledge of document management systems such as iManage.
  • Ability to type 70 wpm.
  • Ability to organize and prioritize workflow for multiple attorneys.
  • Interpersonal skills to communicate verbally, in writing, and by telephone in a professional manner with clients, attorneys, vendors, and staff.
  • Ability to operate office equipment such as computer, transcription equipment, fax machine, and advanced functions on photocopiers.
