About the position

The Legal Secretary/Paralegal position at The Burton Law Firm involves providing comprehensive support to attorneys and paralegals, ensuring smooth office operations and effective case management. The role requires exceptional organizational and communication skills, as well as the ability to thrive in a fast-paced legal environment. Key responsibilities include proofreading legal documents, assisting in client onboarding, managing attorney schedules, and maintaining client files.

Responsibilities

  • Proofread and edit a variety of legal documents and firm correspondence.
  • Assist in drafting essential materials such as memoranda and correspondence.
  • Manage client onboarding, including screening potential clients and conducting conflict checks.
  • Schedule initial meetings and manage attorney schedules.
  • Maintain the firm calendar and coordinate deadlines.
  • Communicate regularly with clients, experts, courts, and other legal professionals.
  • Assist with the establishment of client accounts.
  • Maintain client files according to firm protocols.
  • Prepare for in-person and virtual meetings, including notarizing and witnessing legal documents.
  • Perform other administrative duties as assigned.

Requirements

  • A minimum of 3 years of legal secretarial experience or 2 years of paralegal experience.
  • Exceptional proficiency in the English language, with strong skills in spelling, punctuation, grammar, and detailed editing.
  • Proven ability to edit and format a wide variety of documents, including correspondence and legal pleadings.
  • Strong technical proficiency, including experience with Microsoft Office Suite and PDF software.
  • Ability to learn and utilize the firm's practice management, document management, and communication systems (LEAP, Wealth Counsel, and Slack).
  • Experience working with basic office equipment such as copiers and faxes.
  • Ability to work independently and be self-motivated and efficient.
  • Excellent organizational, time management, and multitasking abilities.

Nice-to-haves

  • Current Notary License is highly desired or a willingness to obtain it.
