About the position

Legal Services of Greater Miami, Inc. is seeking a dedicated Legal Secretary to join our team. This full-time position is essential in providing secretarial services to our attorneys, thereby facilitating the provision of legal services to low-income individuals in Miami-Dade and Monroe Counties. The Legal Secretary will be responsible for a variety of tasks that support the legal team and ensure the smooth operation of our legal services. The Legal Secretary will independently prepare or transcribe legal pleadings, documents, letters, and other materials as requested. This role requires the preparation of the requisite number of copies for documents as indicated by the case handler. The Legal Secretary will also receive and screen visitors and telephone calls for assigned attorneys, taking messages as appropriate. Utilizing the pleading bank system, the Legal Secretary will generate documents in response to requests from case handlers. E-filing pleadings and coordinating mediations and depositions with opposing counsel are also key responsibilities. In addition to these duties, the Legal Secretary will act as a point of contact among clients, judicial assistants, opposing counsel, and other attorneys and assistants within the organization. The role includes assisting other legal secretaries as needed and covering for their absence. The Legal Secretary will help maintain attorneys' calendars, manage case files, and schedule meetings, appointments, and court hearings. If time permits, the Legal Secretary may also assist in catching up with a backlog of data entry or other administrative work. Other job-related duties may be assigned as necessary.

Requirements

  • Legal experience is required.
  • Ability to operate a computer and use online resources.
  • Ability to type a minimum of 60 words per minute and successfully pass a secretarial skills test.
  • Knowledge of technical legal terms, various legal forms, and documents, or demonstrated ability to learn quickly with prior experience as a general office secretary.
  • Strong organizational skills with attention to detail and ability to accomplish multiple tasks within agreed upon timeframes.
  • Able to function in a fast-paced environment.
  • Self-motivated; able to work both independently and collaboratively with others.
  • Strong ability to follow up on pending items and track project progress.
  • Knowledge of MS Office (Word, Excel, PowerPoint, and Outlook) software.
  • Knowledge or capacity to quickly learn the use of Legal Server case management system.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
