The Legal Secretary provides secretarial assignments in Fiduciary Administration and serves as a back-up for the office support staff. Responsibilities

  • Maintain legal case files, case logs, calendars, and schedules to keep the department organized and in compliance with statutory requirements.
  • Prepare documents and exhibits for Director and MCAO Civil Attorney to ensure deadlines are met.
  • Review legal documents for completeness and conformity to specific requirements.
  • Identify deficiencies and discrepancies detected during file and document examination and take appropriate action.
  • Assemble necessary information for legal proceedings, including working with fiduciaries and MCAO attorneys on requirements.
  • Enter data, review databases, and retrieve information from a variety of sources.
  • File legal documents, including petitions, pleadings, motions, notices, and obtain certified orders and letters from the Clerk of the Court to ensure deadlines are met, and cases are administered properly.
  • Maintain continuous positive communication with staff, MCAO civil attorney, court staff, and external parties, such as court-appointed counsel, on Public Fiduciary legal cases to coordinate and collaborate with all parties to ensure a positive outcome.
  • Train and mentor other legal secretaries and department staff on department processes, policies, and procedures.

Requirements

  • High school diploma or GED.
  • Two years of experience in a legal setting working in legal preparations and legal proceedings.

Nice-to-haves

  • Professional work experience with probate court, including but not limited to guardianships, conservatorships, and decedent's estates.
  • Experience managing high caseloads and working in fast-paced office environments with frequent interruptions.
  • Experience providing services to the indigent, disenfranchised, or underrepresented.
