About the position

The Legal Secretary position provides essential administrative support to attorneys and paralegals within the Prosecuting Attorney's office. The role involves a variety of tasks including typing pleadings, correspondence, and other legal documents based on handwritten or dictated instructions. The Legal Secretary will be responsible for forwarding victim information to victim advocates, taking dictation, composing routine correspondence, and managing incoming mail. Additionally, the position requires scanning police reports and legal documents into the office's case management system, ensuring proper indexing and electronic filing of legal documents, and closing out case files. The Legal Secretary will also perform other duties as assigned, which may vary from day to day. This position requires a high level of confidentiality and the ability to multitask effectively. The Legal Secretary will occasionally be required to work on weekend or holiday mornings to assist with criminal charging as per the office's rotation schedule. The work environment is an interior office setting, where the employee will be in close proximity to other legal professionals, including secretaries, attorneys, paralegals, and victim advocates. The role is full-time, with working hours from 8:00 a.m. to 4:30 p.m., Monday through Friday, and may require occasional half days on Saturdays or holidays to meet filing deadlines.

Responsibilities

  • Provide administrative assistance to attorneys and paralegals.
  • Type pleadings, correspondence, and other documents from handwritten or dictated instructions.
  • Forward victim information to victim advocates.
  • Take dictation and compose routine correspondence.
  • Read and route incoming mail.
  • Scan police reports, correspondence, and legal documents into the office case management system.
  • Ensure proper indexing and electronic filing of legal documents.
  • Close out case files.
  • Perform other duties as assigned.
  • Occasionally work on weekend or holiday mornings to assist with weekend criminal charging.

Requirements

  • High school graduation level language and mathematical skills.
  • Computer and equipment operation skills equivalent to a business school certificate or comparable experience.
  • Ability to maintain a high level of confidentiality.
  • Punctuality and focus on work duties during normal work hours.

Nice-to-haves

  • Criminal Justice degree preferred.
